Position: Transfer Articulation Coordinator (Contract)

Department: Enrolment Services

Annual Salary: $35,448 + 4% in lieu of vacation

Under the general supervision of the Assistant Registrar, Transfer Articulation, the Transfer Articulation Coordinator works as part of a team, reviewing student's transcripts and equating transfer credits for all undergraduate applicants to the university. The Transfer Articulation Coordinator disseminates course outlines and information to academic departments, collecting and compiling transfer equivalencies while supporting the maintenance of a database of existing equivalencies. The Transfer Articulation Coordinator corresponds with students, delivering transfer credit evaluation summaries and providing support to students, along with answering questions and concerns related to transfer policies and processes, directing and escalating concerns as necessary.

Responsibilities

Duties as the Transfer Articulation Coordinator include, but are not limited to:

  • Reviewing transfer student files and ensuring the file is complete with official transcripts and applicable course outlines to ensure they are valid and official. This also includes identifying accreditation of international institutions and determining if the institution is a college or university level.
  • Performing initial Transfer Credit Evaluation (TCE) based on information in the database and identifying what new courses need equivalency.
  • Requesting and collecting required course outlines and disseminating to applicable academic departments for review.
  • Working with Advisors and Departments to determine appropriate equivalencies for courses not in the database and tracking equivalencies sent out and following up on requests that are overdue.
  • Ensuring all final transcripts are received along with communicating with students who have outstanding transcripts and placing a hold on their record. (Note: preliminary TCE's use in-progress courses).
  • Communicating formally with students on the results of the Transfer Credit Evaluation.
  • Corresponding with students on how their TCE fits into their intended program of study through the use of CAPP.
  • Directing students to the applicable Advising Centre/Office for support and guidance on course selection.
  • Meeting with students who have questions related to their TCE and escalating any issues or concerns accordingly.
  • Serving as an advocate for the student through the TCE process to ease the student's transition to Saint Mary's University.
  • Regularly updating database with new courses, course changes and identifying course anomalies and ensuring courses are equated correctly and consistently.
  • Identifying and assisting in the review of course equivalencies in the database on a regular 5 year basis.
  • Adding and modifying courses included in Articulation agreements between Saint Mary's University and other educational institutions.

What you'll need

Qualifications

To be the successful Transfer Articulation Coordinator you will possess a high school plus two (2) years of University combined with a minimum one (1) year experience with direct experience working in a computerized Student Information System environment being preferred. You demonstrate a proven understanding of the Nova Scotia, Canadian and International high school grading systems; excellent knowledge of MS Office suite, internet and e-mail applications; demonstrated experience managing multiple, competing tasks and priorities; and strong organizational skills and ability to function independently. Banner system experience will be considered an asset.
