The Department of University Advancement at Mount Saint Vincent University invites applications for the position of Records Assistant. This is a 6 month, part time contract position reporting to the Manager, Stewardship, Events and Special Projects.

6 Month, 20 Hours/Week Term Contract
$17.00 per hour plus 4% vacation pay
Start Date: ASAP

What you'll do

Responsibilities

With a strong focus on external stakeholder relations, the Department of University Advancement provides oversight to the fundraising, alumnae engagement, and stewardship portfolios of the University. We work closely with a number of stakeholders within our community and partner with corporations, foundations and individuals to further support University initiatives and philanthropic objectives.

Responsibilities and Activities

  • Provide service at main office and respond to routine inquiries via email, phone, or in person, providing accurate information and ensuring clients are directed to the appropriate individual within the department or campus
  • Monitor the general department phone numbers for inquiries and event RSVPs
  • Assist with data entry including, but not limited to, updating biographical information and researching missing information
  • Enter inactive mail codes for all returned mail and process large batches of data updates
  • Create new database records for individuals and corporations
  • Assist with creating and maintaining the weekly donations log from mail, phone, and online donations
  • Assist with weekly tax receipts, maintain lists and file receipts in numerical order
  • Assist with reminder letters and follow-ups required for pledges according to monthly schedule
  • Monitor and oversee the collection of obituaries for deceased alumnae and community members and assist with the coordination of such data for notes of sympathy, code entry into the database and acknowledgement in Folia Montana, the Magazine for Alumnae and Friends
  • Assist with donation processing and mail outs at peak periods

What you'll need

Qualifications

A 2-year Community College diploma in Office Administration or similar program complemented by 1 year of experience in a similar administrative setting is required. Strong communication and inter-personal skills are essential. A high level of attention to detail while handling frequent interruptions is also a prerequisite in this position. Efficient time management and priority setting skills are also required. Supporting all of these skills is a strong commitment to excellent customer service and confidentiality. Candidates should be proficient in the use of Microsoft Office Suite, and previous experience, using business enterprise systems such as Colleague, Banner, would be an asset.
