Reporting directly to the Associate Registrar, the Student Services Representative I (Registrar's Office) provides administrative, phone and clerical support for the Registrar's Office within the Student Services Department. The position is responsible for assisting with the University's academic registration and record-keeping process to ensure accuracy and completeness of all academic records, and for providing support to students.

What you'll do

Responsibilities

  • Provides counter service for Registrar's Office, functions such as transcripts requests, letters of permission, registration, examinations etc. and provides reception to the Academic Advising Office. Responds to varied requests and telephone inquiries from students, faculty, staff, and the general public.
  • Enters and maintains data in the University's Student Information System. Compiles data for preliminary drafting of reports.
  • Maintains filing systems for all student records and correspondence related to the Registrar's Office.
  • Issues transcripts, confirmation of enrolment and other student-related documents.
  • Schedules appointments for the Registrar as required.
  • Assists the Registrar with the preparations for examinations, convocation, and course timetable.
  • Type correspondence, minutes, reports, etc., from written drafts and general instructions.
  • Assists with the distribution and collection of course evaluation forms, and the distribution of results.
  • Processes the application forms for the STU/UNB course exchange program.

What you'll need

Qualifications

  • Graduate of a recognized, relevant, community college or university program combined with a minimum of two years of experience in a professional, automated office environment, or an equivalent combination of education and experience.
  • Excellent interpersonal and communication skills. Experience working in a customer service environment.
  • Experience in using word processing and spreadsheet programs and working in a computerized database environment (e.g., Datatel Student Information System).
  • Good word processing and writing skills.
  • Initiative and ability to organize and complete work assignments.
  • Knowledge of the administrative policies and procedures relating the University environment and the Registrar's Office.

Working Conditions:

  • Frequent requirement to prioritize and multitask in order to address the needs of students and visitors and to answer telephone inquiries.
  • Frequent need to pay close attention to detail when inputting student data and typing documents.
  • Regular requirement to work under pressure to meet deadlines
  • Some overtime, particularly at registration and graduation times, may be required.
