Under the supervision of the Administrative Assistant, the Secretary IV is the administrative secretary for the Studio focusing on:

  • Customer Service
  •  Administrative support to the Director of Educational Development and Technology and to Global Learning and Intercultural Support
  • Support for Studio events and activities
  • Financial administration for the Studio
  • Data collection and report preparation
  • Operational support for the Studio
  • Support for extended learning, digital education, and Intercultural Programs

The Secretary IV provides operational and financial administrative support to the Director and other Studio staff. Provides answers and appropriate referrals for complex inquiries. In consultation with the Administrative Assistant, the Secretary IV assists with developing, implementing, and improving administrative policies and procedures. In the event that staff are working remotely, or asked to work remotely, during an event that does not allow staff to be on campus physically, job duties must be maintained or adjusted where possible to accommodate working in a virtual environment and maintaining student support. The Secretary IV works out of the Studio for Teaching & Learning Department and reports to Director of Educational Development and Technology and to Global Learning and Intercultural Support.

Group affiliation for this position is with the Bargaining Unit 79. The position is evaluated at a Group 6 (salary range $37,797 - $44,769). Salary scale or Collective Agreement can be viewed here.

Qualifications

To be the successful Secretary IV you will possess completion of High School plus one (1) year of Community College business or office administration course. Also minimum of one (1) year of directly related work experience. The potential candidates will process proficiency in Microsoft Office Suite, including website updating and virtual conferencing platforms, such as Zoom. Strong organizational skills and ability to function independently and as part of a team. Strong communication and listening skills. Demonstrated professional presence, demeanor, and judgement/discretion. Cross-cultural working experience. Experience handling and maintaining confidential material. Experience working in a University environment or comparable setting is considered an asset. Ability to work virtually.
