Job Information and Responsibilities

Under the direction of the Administrative Manager, Facilities Management, the Secretary IV will:

  • Provide secretarial and administrative support to the Senior Director and to the Facilities Management Department.
  • Be the first point of contact with faculty, staff and students for departmental inquiries and requests that deal with time sensitive emergencies or requests that may affect the university operations.
  • Will be responsible for the administration of the work request system, the parking database, key management, and training system; also, for reporting and following up with elevator repairs, license renewals and pest control concerns.
  • Be responsible for preparing and presenting monthly reports for work orders, pest management, Security statistics and parking sales.
  • Will be responsible for interacting with the Custodial, Maintenance and Operations staff for action on time sensitive and critical requests and to assist obtaining and tracking leave/payroll requests.

Experience and Education Requirements

To be the successful Secretary IV you will have:

  • High School graduation plus 1 year community college business course.
  • Minimum 1-year related experience.
  • Excellent interpersonal and customer service skills.
  • Strong organizational skills.
  • Proficient in Microsoft Office.
  • Must have strong multi-tasking skills and pay close attention to detail.
  • Ability to work in a busy demanding environment.
  • Ability to work virtually.
