ANCILLARY SERVICES: RESIDENCE
Operating within Ancillary Services, the Residence department support both students in their journey in academic success and the greater UNB community. Residence operates business year around including housing UNB students during the academic year, hotel services and housing conference guests in the summer. Residence manages student housing (applications, finances and administrative policies), summer operations (hotel and conference guests as well as summer residence) and building facilities for 15 buildings (work orders, keys, maintenance concerns, security access).

Salary Range: $21.98 - $26.04 per hour

YOUR FOCUS

Reporting to the Director, Residence Administration, the Residence Receptionist serves as the initial point of contact for internal and external clients and is responsible for all front desk services for both traditional residences, Magee apartments, and UNB owned internal apartments.

  • Greet, respond to and provide service to students, the public and other UNB community requests and inquiries by telephone, email, Teams and at the reception desk.
  • Receive and respond to departmental voice mail messages and email; communicate pertinent information via email or voice mail to staff, students and the public.
  • Relay information to local, national and international students regarding residence, room numbers, move-in details, Residence policies and other general inquiries pertaining to the upcoming academic year.
  • Provide administrative support for Residence staff - photocopying for department staff, sending/distributing incoming and outgoing emails or other communications for staff and students.
  • Support residence staff to handle work overflow.
  • Maintain a professional, clean and tidy front of office for reception of UNB, staff, students, public and conference services guests.
  • Maintain current information systems for post and current students such as Colleague, Transact and StarRez.
  • Process large volumes of both incoming and outgoing mail including recording details of incoming parcels, priority post, express post mail, courier and special deliveries. Sorting and distributing both office, staff and residence mail received, redirect mail as required, and return undeliverable items to senders when necessary.
  • Monitor and assist with the quality, regular updating, and improvement of residence communication materials (website, annual informational emails etc.).
  • Assist with spring and/or summer Orientation (SOAR) events, typically held on Saturdays.
  • Assist with Residence check in/move-in days each term.
  • Act as back up for all residence facilities work orders, key issues, room assignment/room move issues, etc.
  • Assist with recruiting/interviewing and hiring student front desk part-time staff.
  • Other duties as assigned.

WHAT YOU BRING

  • High school diploma.
  • A minimum of three (3) years experience in a customer service and administrative position.
  • An equivalent combination of education and experience will be considered.

Additional Strengths

  • Knowledge of UNB and the Residence Department will be considered an asset.
  • Experience with software such as Transact, StarRez, and Colleague will be considered an asset.
  • Client Service focus with the ability to balance many demands at once in a friendly, helpful and professional manner.
  • Ability to work with conflicting priorities under high pressure while maintaining customer service level.
  • Excellent administrative and organizational skills with the ability to multi-task and perform tasks in an accurate, efficient and timely manner.
  • Proficiency in Microsoft office (365).
  • Crisis intervention experience considered an asset.
