Annual Salary: $78,740 - $101,478 (Group 8)

Under the direction of the Associate Vice President Academic & Enrolment Management, the Registrar ensures the timely, efficient and effective operation of the Registrar's/Records Office and assists and coordinates with the academic-administrative leadership of the University. This includes responsibility for Admissions, Records (past, current and future students) convocation, publications, and transfer and articulations, and the University Student Service Centre. Works collaboratively across Enrolment Services (e.g. Recruitment, Systems & Strategic Projects) as well as across the university (e.g. The Language Centre, Deans, faculty members, Institutional Data Analysis and Planning, relevant members of SMG).

Responsibilities

Duties as the Registrar, include, but are not limited to:

  • Supervising full-time and casual employees; assigning tasks and/or delegating responsibility; monitoring performance and giving feedback.
  • Working with the Director of Student Systems & Strategic Projects, providing leadership in the detailed planning, scheduling and monitoring of all aspects of academic registrations, including the regular academic year, two summer session, on-campus and in extension centres.
  • Working with the Director of Admissions, providing leadership and detailed planning, oversight and monitoring of all aspects of domestic and international admissions, including direct from high school, university preparation courses, visiting and transfer students.
  • Serving on the Scholarship Strategy Committee and providing leadership in scholarship strategy; supporting the developing, monitoring and assessing of entrance, renewable, and achievement scholarship.
  • In conjunction with the Associate Registrar, Service Centre, provides leadership and is responsible for the operations of the Service Centre.
  • Overseeing the development of policies as they relate to student finances and debt, and making recommendations for the Associate Vice President Academic and Enrolment Management for new or revised University policies.
  • Is responsible for all aspects of the annual Spring, Fall and Winter Convocations as well as special convocations, including coordinating, overseeing and monitoring university-sponsored activities which comprise graduation.
  • In consultation with the Associate Vice President Academic & Enrolment Management, and members of the EMG, as appropriate, identifies and instructs individuals selected to have a role in the Convocation.
  • Responsible for compiling and editing the University's Academic Calendar and liaising with relevant internal sources to ensure proper procedures and all Senate policies are followed.
  • Serves as a member of University committees such as Senate and its committees, as required.
  • Communicating to the University community the procedures to be followed in effecting the academic regulations, policies and philosophies of the University; interpreting academic regulations and procedures.
  • Ensuring the maintenance and updating of the University's official Academic Audit; designing and overseeing the production of forms and documents for use by the University community.
  • Responsible for monitoring and enforcement of academic regulations, and for all records relevant to the violation of academic integrity rules.
  • Establishing, monitoring and administering the Departmental budget, including establishing policies with respect to the priorities of department needs.
  • Interpreting regulations and procedures; consulting with the University's solicitors to ensure existing policies, procedures and regulations do not contravene provincial and national legislation.

What you'll need

Qualifications

To be the successful Registrar you will possess an Undergraduate degree with minimum five (5) years of related experience which include increasing levels of leadership responsibility and accountability. A master's degree would be an asset. You have experience in a Registrarial Office and demonstrate a high degree of professionalism with the ability to exercise judgement, diplomacy, tact and discretion with changing and conflicting priorities. You possess the ability to analyze all types of quantitative and qualitative data into informational reports and presentations that can be used for strategic planning and problem-solving. Demonstrated supervisory experience; unionized environment considered an asset. Cross-cultural working experience.
