Career Link Atlantic is a not-for-profit organization that works with industry, government, schools, youth, and other stakeholders to develop and deliver initiatives that provide solutions to workforce challenges in our region.

The New Brunswick Teen Apprentice Program (NBTAP) is Career Link Atlantic's core program. NBTAP is an industry-led, pre-apprentice program for qualifying students starting in grade 10 or 11. NBTAP facilitates the early connection between industries facing a potential skilled trades labour gap and young New Brunswickers giving high school students a head start on an exciting career in the skilled trades here at home.

About the Opportunity

The Office Manager is responsible for managing effective and efficient business operations and corporate functions for Career Link Atlantic.

Reporting to the Executive Director, the Office Manager will be accountable for ensuring that financial management activities (such as day-to-day banking practices, asset management and general accounting) are aligned with the corporate policies. The incumbent will also ensure that technology and data management needs are appropriately managed and serve the organization's purposes.

The position will be based in Moncton, New Brunswick. Salary starts at $60,000 per year plus other benefits.

What you'll do

Responsibilities

This role has three main areas of responsibility:

  • Financial Management: The Office Manager will be responsible for banking functions, day-to-day general accounting, insurance coverage, government remittances, and purchasing, in accordance with approved policies and procedures. The incumbent will also lead the organization's financial analysis activities, which will include management reporting and preparation of financial statements. The incumbent will work with the organization's external auditors as required, and will support the Executive Director in annual planning, preparing financial reports, analyzing vendor proposals, and establishing appropriate budgets for the organization.
  • Business Operations, Human Resources, and Administration: The Office Manager will ensure the overall efficiency of the organization's daily operations by developing, implementing and managing office processes and procedures, overseeing human resource and administrative activities, and ensuring technology and equipment are functioning appropriately. The incumbent will procure and manage external vendors to assist with technology or other service needs.
  • Physical Office Space: The Office Manager will be responsible for maintaining a positive and healthy workplace environment. This includes the management of related maintenance, supplies and services. The incumbent will also have responsibility for security and disaster recovery planning.

What you'll need

Qualifications

Required:

  • A Bachelor's degree, diploma or relevant office management experience (5 to 8 years experience preferred)
  • Proficiency in MS Office applications and other computer software
  • Proficiency in management reporting, financial statement preparation, and data analysis
  • Able to manage vendor relationships and negotiations to secure competitive pricing
  • Flexibility, critical thinking, attention to detail, rigour, and integrity

Desirable:

  • Bilingualism (English and French) is preferred
  • Accounting designation (e.g. CPA)
  • Experience leading the financial function of a not-for-profit organization
  • Experience in financial controllership, vendor management and procurement management practices
  • Experience in leading small teams and delegating workflows
