We are currently hiring for three Office Assistant II opportunities within the Engineering and Technology Services Department. One regular opportunity is within the Capital Project Delivery section; one 12-month term opportunity is within the Capital Project Delivery Section; and one regular opportunity is a shared resources amongst Asset Management & Capital Planning, Infrastructure Planning, and Energy Management & Business Development.

As an Office Assistant, you will:

  • Provide administrative services to the Senior Manager and the associated Managers within the Engineering and Technology Services Department.
  • Provide administrative support and coordinate schedules.
  • Work within shared work environments (MS SharePoint, Document Management System, MS Teams, Teams TaskBoards, corporate financial system).
  • Assist with preparing related procurement documents.
  • Prepare and process claims/invoices.
  • Compile information from multiple sources and multiple formats.
  • Compile associated statistics.

To do this job, you need to have:

  • Grade 12 or equivalent and a related Administration, Administrative Assistant, or Business Certificate from a recognized educational institute.
  • Three years of related administrative experience.
  • Demonstrated experience working with Microsoft Office 365 applications (including Word, Excel, PowerPoint, Outlook, OneNote, OneDrive, Teams, SharePoint, MS Forms) and Adobe Pro for the conversion of files.
  • Knowledge of other Microsoft applications such as Project, PowerBI, Visio, and Planner will be considered an asset.
  • Accuracy in typing.
