Position: Library Clerk II (Contract until February 2021)

Department: Patrick Power Library

Annual Salary: $32,510 - $36,157 (Group 3)

Hours of Work:

Saturday: 9:30AM - 5:30PM

Sunday: 3:30PM - 11:30PM

Monday - Wednesday: 10:00AM - 6:00PM

Under the supervision of the Manager, Access Services, the Library Clerk II provides services to Library patrons; co-ordinates the maintenance of the Library's stack areas; and oversees Department operations for one evening shift/week.

What you'll do

Responsibilities

  • Preparing shelf reading schedule and ensuring regular shelf reading.
  • Overseeing training of student assistants, including the shelving, tidying and straightening, shelf-reading, shifting and training of the Library of Congress Classification System.
  • Planning, coordinating and assisting in shifting books to allow space for new additions
  • Keeping statistics of monographs and journals used in house, prior to being reserved.
  • Uses Integrated Library System to:
    • Charging out, discharging and renewing General Loan, Periodical and reserve Reading items.
    • Creating and/or updating Patron Records in database.
    • Confirming Study Room bookings and issuing Claim Slips including enforcing time limits and the proper use of the rooms and resolving problems such as double bookings.
    • Identifying and explaining fines on Patron's accounts; accepting payments; and verifying payment.
    • Charging out, discharging and renewing library laptops.
    • Assisting in locating materials and equipment usage (photocopiers, printers, microfiche readers, etc.)
    • Verifying student registration by searching the University Banner system.
    • Issuing/renewing library cards to eligible applicants for facilitating borrowing privileges.
    • Assisting in University ID card production (verifying identifications, camera operation, etc.).
    • Selling Print Credits to students and entering entitlement purchase into the University's P-Counter" system.
    • Ensuring accuracy of and selling Photocopy cards along with processing In-Coming and Out-Going faxes.
    • Operating the cash register and handling Point-of-Sale transactions.
    • Processing materials manually when the Novanet database is down or when items are not in the online system.
    • Distributing items with Holds attached and materials being returned from/to other Novanet and Public libraries.
    • Verifying and accepting search, hold, recall and status check requests.
    • Maintaining Stacks, gathering Pick-ups, ensuring all returned items are sensitized and preparing book/periodical trucks for re-shelving. Double-discharges completed truck.
    • Maintaining Lost and Found and ensuring supplies are available for patron use (stapler, paper clips, etc.).
    • Assisting in training Student Assistants and new staff.
    • Opening/Closing the library, as required.
  • Verifying new books and thesis are downloaded into the computer system before shelving.
  • Editing, updating and copying the general circulating procedures manual.
  • Running reports of long overdue items; looking up and entering replacement costs for material; and notifying patrons of overdue material about to be billed for replacement.
  • Sending e-mail messages daily for failure -to-send notification service, and responding to patron queries.
  • During weekend operations, assisting in the oversight, coordination and correction of the work of student assistants, which includes assigning duties in the absence of evening/weekend supervisor and overseeing the Department operations for one evening shift per week.
  • During weekend operations, assigning daily jobs and checks work of student assistants; training new student assistants; and reporting to the Head of Department on performance.
  • Processing off-site storage requests in the absence of the Clerk II, Searches, Hold and Recalls.
  • Checking patron identification.
  • Following emergency procedures when alarm system is activated and notifying campus security in cases of emergency such as power failure, medical emergency, robbery or threatening confrontation.
  • Recording lost and found items in the desk log and notifying owners of items when possible.
  • Conducting regular patrols throughout the Library and enforcing the Library Noise Policy.
  • Responding to texted messages requesting noise control.
  • Ensuring library policies and procedures are adhered to.

What you'll need

Qualifications

To be the successful Library Clerk II you will possess a Library and Information Technician (LIT) Diploma or High School graduation and minimum six (6) months related experience combined with strong organizational skills, the ability to function independently and as part of a team; and strong communication and interpersonal skills. Excellent attention to detail and accuracy, knowledge of MS Office, internet browsers and e-mail application, and good working knowledge of an academic library and its resources will round out your qualifications. Experience with an integrated library system will be considered an asset.
