Position: Information and Enrolment Services Clerk (NSGEU Local 79)

Department: Enrolment Services

Annual Salary: $33,283 - $38,202 (Group 4)

Under the supervision of the Director, Recruitment and Marketing, Domestic and International, the Information and Enrolment Services Clerk is the first point of contact and represents the University by directing switchboard calls and questions to appropriate departments while supporting the Admissions Office and Recruitment and Marketing staff. The Information and Enrolment Services Clerk handles or refers enquiries to the University by telephone or in person

What you'll do

Responsibilities

Duties as the Information and Enrolment Services Clerk include, but are not limited to:

  • Receiving incoming telephone calls on the switchboard and receiving students and visitors at the Information Desk. Answering general questions about the University and providing callers with contact information for specific departments. Handling concerns and complaints as appropriate and/or directing to suitable departmental manager.
  • Providing information to students using files form Record Office or Banner regarding student acceptance, missing document, incomplete applications or setting up appointments with Admissions, Recruitment Officers and the Director.
  • Assisting future and current students, and general public, by providing directions to classrooms, meeting rooms or University events.
  • Providing information to student staff for Live Chat inquiries.
  • Responding to info@smu.ca emails.
  • Reviewing official transcripts and undergraduate applications when submitted at the Information Services Desk.
  • Processing debit, credit or cash payments for application fees.
  • Holding documents for pick up by the Admission Records Clerks.
  • Entering previous day's applications payments into Banner.
  • Providing assistance with data collection and sorting of named Entrance Awards online applications.
  • Providing assistant with scholarship criteria checking.
  • Typing scholarship offer letters for Director of Admissions signature. Tracking scholarship offers and acceptance of offers in a spreadsheet. Sending letters along with recruitment material via courier, scan and regular mail.
  • Carrying out verification of documents by online methods and contacting issuing institutions.
  • Retrieving files for Recruitment and Admissions staff from other officers and file room as needed.
  • Supporting prospective international students with language requirement and agent contact information.
  • Resetting PINS of accepted students for registration purposes.
  • Providing support to Recruitment staff as needed (including preparing mail-outs and shipping materials).
  • Coordinating catering orders for on-campus recruitment events and meeting.
  • In collaboration with Recruitment staff, liaising with vendors regarding equipment an decorations required for campus recruitment events.

What you'll need

Qualifications

To be the successful Information and Enrolment Services Clerk you will possess a high school diploma and the completion of a one (1) year Community College with a minimum one (1) year related experience. You demonstrate the ability to work independently and as part of a team. Further, you have excellent customer service and interpersonal skills and attention to detail. Proficiency in a Microsoft Office suite; the ability to operate Moneris machine and experience using Banner would be considered an asset.
