Position: Graduate Studies Officer (APC)

Department: Faculty, Graduate Studies & Research (FGSR)

Annual Salary: $54,091-$69,708 (Group 5)

Under the general direction of the Dean of Graduate Studies, the Graduate Studies Officer organizes and manages the entire admission and funding process for graduate students in every graduate program and serves as the University's official Graduate Scholarship Liaison Officer for external Federal and Provincial scholarships agencies. This includes: reviewing and approving all admissions and funding recommendations; providing advice and direction to graduate students and graduate program coordinators/managers on academic matters relating to admissions, student funding, enrolment or student status; manages external scholarship competitions; posts all committed university funding to each graduate student's individual student account; maintains graduate student forms, files and records; assures the authenticity of transcripts and official documents submitted by, or on behalf of, student applicants; and, maintains the Faculty's information holdings. The Officer is a member of FGSR Graduate Studies Committee and may in the absence of the Dean and Associate Dean chair the FGSR Graduate Studies Committee.

Responsibilities

Duties as the Graduate Studies Officer include, but are not limited to:

  • Reviews and approves Admissions Recommendations provided by the Academic Graduate Program Coordinators; forwards any unapproved recommendations with details to the FGSR Associate Dean for further review.
  • Oversees, facilitates and manages the academic affairs of University graduate programs including student advising, advocacy and problem solving.
  • Manages graduate student processes, investigating current practices, developing and initiating new procedures following best practices.
  • Acts as the FGSR primary contact for graduate students, prospective students, parents, academic departments, internal SMU community, SMU alumni and external professional graduate studies organizations and the general public.
  • Supervises the Program Assistant and student assistants; assigning tasks and/or delegate's responsibility; counsels and provides training and development, monitoring performance and giving feedback on a day-to-day and monthly basis, selects and recommends direct reports, resolves employees concerns and initiates disciplinary action.
  • Identifies and acquires information resources useful to graduate students and Program Coordinators.
  • Advises prospective graduate students and graduate Program Coordinators/Managers on admissions requirements, options and related issues.
  • Updates student information in Banner regarding admissions, scholarships, rate codes and program extensions.
  • Approves student reimbursement for the cost of course taken at other institutions on approved Letters of Permission.
  • ·Designs all forms for the application process and letters. Generates and sends letters to all applicants for official acknowledgement of receipt, notification of decision, etc.
  • Receives, assembles and distributes program information to incoming inquiries from prospective students and/or delegates such duties to FGSR Program Assistant.
  • Tracks paperwork for missing documentation and the movement of the file.
  • Responds to student inquiries regarding the status of their application.
  • Ensures compliance with external and internal regulations and communicates scholarship policies to Graduate Program Coordinators/Managers, students and other university stakeholders.
  • Represents the FGSR and Saint Mary's University and participates on campus and external committees, agencies and professional associations.
  • Ensures accuracy of the Graduate Academic Calendar, procedures handbook and graduate student handbook.
  • Participates in the development, revisions and implementation of graduate program policies.
  • Generates reports from Banner and develops statistical reports for all aspects of graduate studies.

What you'll need

Qualifications

To be the successful Graduate Studies Officer you will possess a minimum of a Master's degree with at least one (1) year of directly related experience or a Bachelor's Degree with at least three (3) years directly related experience. Supervisory experience, preferably in a unionized environment. Board knowledge of graduate admissions and scholarship and financial aid policies, procedures, process, regulations, and standards. Ability to develop and present workshops, information and orientation sessions. Demonstrated ability to organize limited resources and establish priorities. Knowledge of academic program review and policies and processes.
