Position: Front Desk Information Clerk (NSGEU Local 79)

Department: Athletics & Recreation

Annual Salary: $35,448 - $40,685 (Group 5)

Under the supervision of the Athletics and Recreation Operations Manager, the Front Desk Information Clerk provides customer service to internal and external clients; provides information to current and potential customers on the services the facility offers. Provides access services to The Homburg Centre and ensures adherence to departmental policies and procedures. Oversees day to day activities of the Front Desk and facility, and ensure work assigned to part-time staff is completed.

Responsibilities

Duties as the Front Desk Information Clerk include, but are not limited to:

  • Directing and coordinating part-time front desk staff including feedback and input with regards to hiring, dismissing, and disciplining.
  • Preparing shift schedules for operations and part-time staff and calling staff in or letting staff leave as necessary.
  • Training part-time staff on data entry, laundry, facility procedures (opening and closing), customer service and sales.
  • Completing payroll sheets for bi weekly payroll and providing to Secretary IV.
  • Greeting members/non-members visiting the facility and controlling access by checking identification cards.
  • Answering inquiries by phone, email and in person and providing information on memberships, general information inclusive of varsity, intramural, and camp of champion inquiries; handling general complaints directed toward the Front Desk, and resolving scheduling conflicts when possible. When necessary, directing complaints to the appropriate department if it cannot resolved.
  • Handling emergencies after regular office hours and completing appropriate reports (i.e. injury, fire alarms, etc.).
  • Providing service to Varsity teams/ clubs regarding uniform and practice gear laundering and storage of equipment.
  • Taking and recording bookings for squash courts and arena after regular business hours and as a backup. 
  • Conducting tours of the Homburg Centre facility.
  • Preparing and forwarding to the Marketing Co-ordinator the monthly retention rates, provides telemarketing, and future promotions, as well as, prepares and distributes monthly mail-outs.
  • Presenting member concerns and suggestions at facility meetings.
  • Selling and processing SMUFit memberships, Summer Camp of Champions registration, Active Living Registrations, Squash Clinics, Classes, Trainer Programs and locker rentals. This includes completing forms, preparing invoices, and receiving payments, issuing supplies and locker numbers.
  • Utilizing the "Fusion" system daily for selling memberships (data-entry), camp registrations, facility bookings, Active-Living sales, report writing and printing, and cash sales.
  • Providing lists, reports, and contact numbers for class cancellation by telephone, twitter Facebook if necessary.
  • Merchandising and selling pro shop inventory at the Front Desk.
  • Ordering a small selection of pro shop items such as locks, squash balls, etc.
  • Completing inventory and overseeing the receiving, pricing and inventory of stock for the pro shop.
  • Assisting others with "Fusion".
  • Completing facility operation event tasks, field monitor's and facility operations' tasks.
  • Preparing the facility to open each day by counting cash, setting up front desk area, turning on washers and dryers, opening weight room, turning steam room on, checking spa area, walking about to check entire building for set ups, general issues and maintenance issues.
  • Preparing the facility to close each day by counting cash deposits, and completing cash reconciliation report, turning off washers and dryers, closing weight room, checking tasks completed by operations, and front desk staff. Also includes ensuring the facility is secure by checking all entrances and making sure that the building is empty.
  • Following safe practices and risk management, as well as remaining aware of liability issues and acting proactively, for example ensuring nets are locked up, responding to unsupervised children, etc.
  • Preparing requisitions for signature or use P card for office supplies, laundry, chemicals, etc. for the Front Desk area.

What you'll need

Qualifications

To be the successful Front Desk Information Clerk you will possess completion of high school and a minimum one (1) year recent and related work experience with a minimum one year related work experience. You are committed to customer service and are able to function independently and as part of a team and demonstrate excellent customer service and communication skills. Experience with a POS and a Community College diploma in Marketing/Accounting/Office Procedures will be considered assets.
