We're looking for a Finance & Administration Lead to join our early-stage organization. Tribe Network launched in early 2021, thus this person must be comfortable with setting up processes and systems from the ground up. As the Finance & Admin Lead, you will be the main point of contact for any accounting, bookkeeping and financial program administration pieces to support the Black Startup Project and other Tribe Programs. 

The successful Finance & Administration Lead is someone who has exemplary organizational skills, is a critical thinker and is a creative problem solver. As a key team member, you will ensure financial processes, policies and systems are set up in a way to support the organization in building Canada's BIPOC Entrepreneurship & Innovation Hub, to support entrepreneurs, leaders, and companies to co-create more inclusive entrepreneurship & innovation community.

What you'll do

Responsibilities

Bookkeeping & Administration

  • Track, maintain and forecast project budgets for the Black Startup Project and other programs (where applicable)
  • Maintain and prepare ACOA claims in collaboration with the COO
  • Maintain online and electronic filing systems for all accounting documents
  • Create, reconcile and prepare bank statements and annual financial statements
  • Prepare, and present quarterly budget reports as needed
  • Create and reconcile all filing/payments as required by CRA
  • Full cycle accounting including payables, receivables and invoicing, general ledger entries, reconciliations (bank, credit cards, Stripe, Paypal)
  • Assist with annual audit preparation and liaison with external auditors
  • Other duties as required

Program Coordination

  • Create and maintain budgets and accounting processes for programs, events and initiatives
  • Create, maintain and file important documents such as reports, meeting notes, emails, letters and important office forms.
  • Oversee, organize and coordinate with service vendors, order office supplies, restock supplies, order office equipment and support with onboarding new employees.
  • Assist other team members in programming logistics and administration items relating to entrepreneur/client tracking and evaluation.

What you'll need

Qualifications

  • Minimum of two years of full-cycle accounting experience
  • Solid knowledge of bookkeeping and generally accepted accounting principles
  • Experience with Dext and QBO is a definite asset
  • Excellent computer skills and proficiency with Google Workplace Suite of tools (E.g. Google Docs, Sheets or equivalent)
  • Experience using cloud-based tools such as Google Workplace
  • Excellent multitasking and time-management skills
  • Ability to prioritize tasks and consistently produce high-quality work while meeting deadlines
  • Ability to analyze and problem solve
  • Exceptional organization skills and attention to detail
  • Solid communication skills with the ability to communicate effectively
  • Personable and able to work actively with a team
  • Post-secondary degree or diploma in business/accounting is an asset

Here are some other skills that would be a bonus

  • Experience using a CRM, Airtable, and Notion
  • Knowledge of accounting standards for not-for-profits
  • Experience with processing government claims (E.g. Federal Government & Provincial Government)

Interview Process

  1. Zoom Screening with Sally Ng, Chief Operating Officer
  2. Remote panel interview with Tribe Team Members and Advisors (2-3 Interviewers) to talk about experiences and cultural alignment. A mini project which would require 30-60minutes of preparation time may be required for this portion of the interview.
