Responsibilities

The Facility & Member Services Assistant is a member of a team of fitness, recreation and athletic professionals who strive to provide quality programs and opportunities for Mount students, staff, faulty and the surrounding community. Within this division houses the Mount Fitness Centre which generates over $230,000 in revenue each year.

Reporting to the Manager of Promotions & Member Services, the Facility & Member Services Assistant is responsible for the daily operations of the Mount Fitness Centre Front Desk including, but not limited to, membership and program registration, client service, facility set ups and administrative support for the delivery of athletic and recreation programs within the Athletics and Recreation Department. They are also responsible for ensuring the cleanliness and safety of the athletics and recreation facilities and the equipment within them.

As the primary point of contact for the Mount Fitness Centre, the Facility & Member Services Assistant responds to inquiries, directs phone calls and visitors, provides information on membership and program offerings, supports students, staff, faculty and community members. They are also the In-service and Summer Day Camp Registrar and is a key member of the Day Camp Management Team. The Facility & Member Services Assistant provides daily indirect supervision, trains, and monitors the job performance of the Athletics and Recreation Facility Assistants (ARFA) student staff and reports inaccuracies and recommendations to the Athletics & Recreation team. The position is responsible for maintaining accurate program registration, processing payments, request refunds, prepare deposits, investigate member accounts for financial and data entry errors, compile data, prepare summary reports on programs, edit and proof-read departmental material, maintain inventory of office supplies and maintain bulletin boards within our area.

The Facility & Member Services Assistant is based in the Mount Fitness Centre and is the first responder to incidents within athletics and recreation facilities and is responsible for activating the Emergency Action Plan when required.

Qualifications

The ideal candidate must have completed, at minimum, a 1-year diploma in Business or Office Administration with two years of related administrative experience. Preference will be given to those whose experience is within a sports/recreation/athletics field. Candidates must be computer literate and possess strong organizational skills, strong communication and interpersonal skills, and be detail oriented. Experience and knowledge of the fitness industry is an asset. Demonstrated dedication to providing excellent customer service is required. The ability to multi-task in a fast-paced environment is a must. Candidates should be proficient in the use of Microsoft Office Suite, and have an aptitude for, or previous experience using Facility software systems such as Legend or PerfectMind.
