We are currently seeking an experienced Executive Assistant to join our office in St. John's, NL.

What you'll do

Responsibilities

  • Proactively and independently manage the COO's and the Chair's calendars respecting internal and external meetings, client events, business-related activities, travel management in order to maximize best use of the partners' time.
  • Monitor and arrange internal and external meetings responding to changing priorities and coordinating meeting logistics and preparation of supporting materials.
  • Liaise with COO, Chair and the Board and Committee members as required to coordinate board activities, materials, correspondence and the signing of documents.
  • Take quality minutes of meetings for all board and board committee meetings.
  • Coordinate, prepare, edit and/or proofread documents such as correspondence, presentations, and reports using various software.
  • Maintain master filing system for the Executive offices, including master files of the Board and Board Committees, and be able to process confidential transactions in an efficient and expedited manner
  • Respond independently to basic client or partner enquiries and escalate complex enquiries to appropriate parties based on knowledge of practice/structure and work process.
  • Process incoming calls and mail/messages for appropriate action and act on specific requests as directed.
  • Plan and coordinate cost-effective and sometimes complex domestic and international travel arrangements
  • Lead and complete other special projects as assigned to aid the senior leadership team and others within the organization.
  • Handle highly sensitive and confidential information with a high level of discretion and strictest confidence.

What you'll need

Qualifications

  • Post-secondary education in office administration, business or related field of study.
  • 5 - 7 years of relevant customer service and/or administrative experience supporting multiple staff at a senior level.
  • Capability to deal with highly confidential information, diplomacy, tact and discretion.
  • Proven proficiency in organization, planning, scheduling and time management with the ability to multi-task, make decisions and prioritize work.
  • Process-oriented mindset, with the ability to work independently and within a team.
  • Strong initiative and ability to anticipate the needs of a busy executive and team.
  • Commitment to ownership and accountability for the successful execution of tasks assigned and effective follow-up on activities.
  • Excellent verbal and written communication skills.
  • Demonstrated attention to detail with an aptitude for proofreading, suggesting alternatives and making modifications.
  • Excellent interpersonal skills and a demonstrated ability to build effective relationships and work collaboratively in a team environment.
  • Team player, collaborative and looks to strengthen the environment with a winning attitude.
  • Advanced-level knowledge of common industry software such as Microsoft Office (Word, Excel, Outlook, PowerPoint), Adobe Acrobat
