We are seeking a positive, energetic, and experienced Executive Assistant to provide support to the company's partners. The ability to thrive in a fast-paced, dynamic environment with a high degree of professionalism, confidentiality, and flexibility is a must.
This is anything but a 9-5 role. Requests come in form clients, suppliers, and partners 7 days a week and the ideall candidate will embrace and look forward to this challenge. Responsiveness and attention to detaiil are key.
What you'll do
Responsibilities
- Coordinate and communicate on behalf of the President and the CEO to both clients and team members
- Responsible for correspondence, including calls, messages, and scheduling meetings
- Handle requests and queries appropriately
- Maintain agenda, arrange meetings and appointments, and provide reminders
- Assist with travel arrangements
- Take and prepare meeting notes accurately
- Establish and maintain efficient physical and electronic filing systems
- Process, track, and account for various expense reports, invoices, and budgets in a timely and accurate fashion
- Create and edit presentation materials, reports, letters, contracts, and other business documents
- Effectively support and coordinate with other administrative assistants, especially for high priority meetings, deadlines, and deliverables
- Demonstrate a sense of urgency, initiative, responsiveness, and attention to detail
- Complete special projects and other duties as assigned
What you'll need
Qualifications
- Proven experience as an Executive Administrative Assistant
- Experience working with entrepreneurs considered an advantage
- Full comprehension of office management systems and procedures
- Excellent knowledge of MS Office and Apple operating systems
- Proficiency in English (proficiency in French would be considered a major asset)
- Exemplary scheduling, planning, and time management skills
- Ability to multitask and prioritize daily workload
- High-level verbal and written communications skills
- Discretion and confidentiality
- Project / process experience would be seen a huge asset
- Ability to multi-Task and improvise in a high pressure and fast-paced environment.
- Capable of presenting to senior leadership, working directly with clients and suppliers
- Enthusiastic and eager to do what is necessary to be successful
- Excellent interpersonal, public presentation, written, and communication skills
- Ability to learn quickly and to respond/react accordingly to changing priorities
