 Rothesay Netherwood School looking for an experienced permanent full-time Executive Assistant to support the Head of School and be responsible for a wide range of complex and confidential administrative, operational and governance tasks. This person will represent the office of the Head of School to internal and external stakeholders in a professional manner, engaging with board members, faculty and staff, students and parents, and other community members. A key responsibility for this role involves engaging the Board of Directors and Governors, through the drafting of board meeting agendas, recording minutes, disseminating meeting material, and coordinating the Annual General and Semi-Annual meetings with the Governors.

What you'll do

Responsibilities

  • Work with the Head of School to establish daily priorities, maintain a daily work schedule, schedule appointments and follow up on deadlines
  • Make appropriately informed decisions regarding availability of time, taking key goals and business priorities into account
  • Build and maintain relationships and work collaboratively with faculty, staff, parents, and alumni from diverse ethnic, cultural, and socioeconomic backgrounds
  • Exercise initiative and demonstrate a high degree of confidentiality, discretion, and tact in all aspects of the role
  • Prepare draft correspondence on behalf of the Head of School and manage travel arrangements
  • Keep the Head of School apprised of the itinerary, action items, and relevant business issues
  • Organize Board of Directors meetings, bi-annual meetings of the Board of Governors, Board Committee meetings, draft agendas, send out notices and supporting documents, prepare meeting materials and record meeting minutes
  • Prepare and distribute regular and occasional electronic newsletters and push pages to share information with the school community
  • Organize student and grad photo sessions, and assist in scheduling parent-teacher interviews
  • Provide assistance to the Development and Alumni Affairs Department for alumni dinners and reunion weekend, and other occasional school events throughout the school year

What you'll need

Qualifications

  • Post-secondary education in administration or related field, or combination of work experience and education, with 3-5 years related experience
  • Strong interpersonal and communication skills
  • Ability to work independently and take initiative
  • High level of organizational and time management skills
  • Ability to maintain confidentiality and interact in a professional manner
  • Self-starter with the capacity to manage, with minimal supervision, variable workloads and multiple tasks, setting priorities and deadlines
  • Ability to perform, make decisions and problem-solve under pressure, exercising initiative and sound judgment
  • Proficient computer skills and knowledge of MS Office Suite
  • Flexible to work some evenings and weekends, as required
