Position: Enrolment Services Representative (NSGEU 79) 
(2 Temporary Positions, 1 Maternity Leave Replacement and 1 Temporary 9 Month Contract)

Annual Salary: $37,797 - $44,769 + 4% in lieu of vacation

Under the direction of the Associate Registrar, Services Centre, the Enrolment Services Representative will respond to inquiries and offer guidance as requested by students, members of the university community, and the general public to provide one-stop quality service and accurate information in the broad areas of admissions, registration, financial assistance (scholarships and loans), academic policies and procedures, and other areas.

Responsibilities

Duties as the Enrolment Services Representative include, but are not limited to:

  • Evaluating customer needs and liaising with departments and University Policies and Regulations to find solutions.
  • Resolving difficult/sensitive issues and offering guidance to students, parents, and University community.
  • Strictly following FOIPOP guidelines and only releasing information and documents to qualified individuals.
  • Answering T2202A/T4A tax enquiries, processing T2202A recalculations/amendments and T4A amendments.
  • Answering questions regarding domestic student loan applications, appeals, withdrawals and re-assessment and knowing where to refer students based on province and status.
  • Assisting students with academic documentation including, but not limited to registration, course overrides, prerequisite error/requirements, xx/yy courses, major/minor declarations, letters of permission, etc.
  • Interpreting and communicating academic calendar regulations for customers.
  • Creating ad-hoc special letters and articulating specific information when requested by students including information for international students for immigration, study and work permits applications and renewals.
  • Analyzing admission status of potential students and assisting with registration restrictions and problems; solving issues and completing and/or processing missing documents to correct errors.
  • Assisting students with applications/enquiries surrounding graduation, graduating in absentia, ordering potential graduation letters and invitations and taking orders for non-traditional parchments, gown rentals and returns.
  • Communicating probation and dismissal information to students who do not receive letters formally.
  • Providing information and options to students needing internal scholarship and bursary information.
  • Handling numerous late payment requests requiring advice in areas of banking and services, providing options or making arrangements and granting exceptions when accounts are restricted.
  • Evaluating accounts, offering payment plans and preparing promissory notes based on a student's ability to pay.
  • Communicating the terms of the Registration Appeal and offering explanation and guidance to students.
  • Preparing invoices for students who are sponsored from outside organizations and governments to initiate payment.
  • Using Site Manager to create material and maintain the Service Centre/Graduation websites with up to date information including fee assessment, graduation dates, multiple procedures and forms, deadlines dates, etc.
  • Attending monthly Communication Committee meetings.
  • Creating publications using Simply Cast (SMU Cast) and Adobe Photoshop to send publications to targeted student groups or the entire population of registered students.
  • Creating, updating and maintaining the Service Centre slides across campus using the central monitor application.
  • ·Contacting students via phone, email and correspondence regarding delinquent accounts.
  • Documenting credit terms including supporting documentation and storing the information electronically.
  • Processing transcripts and Confirmation of Enrolment letters on demand and in batch.
  • Processing and receipting all forms of student payments and adjustments.
  • Posting monies to general ledger online postings/journal entries using correct accounts.
  • Accepting deposits from other University departments.
  • Calculating the University's combined deposits and reconciling with Garda Security twice weekly.
  • Receiving and processing requests for refunds.
  • Establishing, maintaining, editing or adding to student records in Banner or student files when processing registration changes, major/minor declarations, prerequisite drops, biographical updates, letters of permission requests, etc.
  • Verifying, confirming and authorizing Confirmation of Enrolment letters for outside Agencies or Organizations.
  • Verifying and confirming graduation for agencies doing Education verifications.

What you'll need

Qualifications

To be the successful Enrolment Services Representative you will possess High school plus two (2) years of University and a minimum two (2) years of related experience. You will further demonstrate a proven familiarity with MS Office, including Windows, Word and Excel and Adobe; proven time management skills; and strong customer service skills. Work experience in an academic environment; experience using social media including Twitter and Facebook; and experience in Ellucian Banner will all be considered assets.
