Reporting to the Registrar, the Coordinator, Registrarial Services, is responsible for the efficient operation of administrative support in the Office of Student Experience. The Coordinator, Registrarial Services organizes and directs clerical and functional operations, within their area of specialization (i.e., Registration, Orientation, Graduation and Transcripts, Enrollment Reporting and Student Relations, Petitions and Appeals), providing critical support to students, faculty, staff, and third-party agencies and address questions or concerns with a solution-based approach. The Coordinator is expected to coordinate a broad range of responsibilities and act as a first point of contact for students in ensuring that systems and processes meet university service and student service expectations.

Responsibilities

  • Provides clerical support to the Registrar and Directors in the Office of Student Experience, including reception, responding to inquiries, making appointments, screening and distribution of mail, telephone messages, photocopying, faxing, and preparing correspondence, reports and other materials, previously typed, drafted or handwritten material, spreadsheet and data base software applications.
  • Performs all duties related to assisting the Registrar's office in receiving registrarial services (i.e. Registration, Orientation, Financial Aid, Graduation and Transcripts, Enrollment Reporting and Student Relations, Petitions and Appeals).
  • Prepares weekly confirmation of enrollment correspondence.
  • Provides full logistics and support for University graduations including attending planning meetings, preparing related correspondence and/or minutes, graduating student information sheets and graduation lists, overseeing the printing of degrees, provision of supplies, final check and packaging of degrees, invitation lists, space arrangements, catering, sending out invitations, and follow-up of final guest list.
  • Oversees student assistants including, selection, scheduling and supervision.
  • Coordinates activities and functions of the Front Counter, working closely with the Student Assistants.
  • Monitors Registrar portion of the budget for the Office of Student Experience.
  • Screening and distribution of mail.

What you'll need

Qualifications

Completion of Grade 12 and a post-secondary office administration program, combined with at least 3 years of related experience (preferably in an academic setting) or equivalent combination of training and experience is required. Proficiency in use of the Microsoft Office Suite is required, including records and file management, spreadsheet and database programs is required. Familiarity with business machines (fax, photocopiers, multi-line telephones) is required. Excellent math, written and verbal communications skills are required.
