NBCC is currently seeking a dynamic and competent individual for the position of Administrative Assistant to the Department Head (ASL 3)

Responsibilities

Reporting to the Department Head of Information Technology and Hospitality, you are responsible for providing support to, and managing the day-to-day schedule, activities, and procedural needs of the department as well as supporting the work of the Department Head, staff and students as required.

Responsibilities include providing administrative support, developing resources for the Department Head and faculty, enrolling and scheduling classes, processing end-of-term data in alignment with the enrolment cycle, communicating with student services and other campus personnel as well as external organizations, facilitating textbook purchases and coordination of departmental purchasing and receiving, coordinating program events, handling confidential and sensitive documentation, and making recommendations for solutions and changes to methods and procedures for process improvement. The successful candidate will also monitor monthly budgets, purchase orders and expense reports, attend meetings and take minutes and provide follow-up, draft and prepare documents, correspondence and presentations, and organize and schedule travel arrangements. General administrative functions such as answering the telephone, photocopying and faxing are also required.

The successful candidate must have a strong client service orientation, be detail-focused, demonstrate initiative and be able to work independently while also working cooperatively with others as required. Developing and using detailed systems to organize and keep track of information, and proactively initiating new projects while anticipating future needs are also requirements for this positions.

Qualifications

Required qualifications for this opportunity include a high school diploma plus a one-year post-secondary program in a related field and a minimum of three (3) years of recent and related work experience; OR a high school diploma plus a two-year diploma in a related field plus two (2) years of recent and related experience. Extensive knowledge of the MS Office Suite products is also required. Candidates must clearly demonstrate how they meet these qualifications on their resumes.

Written and spoken competence in English is required.

Preference may be given to candidates who have knowledge of Oracle and SIMS.

Other combinations of education and experience may be considered as equivalent. Subject to competition response, the minimum qualifications may be raised.

NBCC offers a comprehensive compensation and benefits package that includes a competitive bi-weekly salary for this position ranging from $1,472 to $1,776. This is a unionized position where the terms and conditions of employment are in accordance with the New Brunswick Union of Public and Private Employees collective agreement (Administrative and Program Support Services Group) for the College.
