Job Information and Responsibilities
Under the direction of the Manager of Career Services & Employer Engagement, the Career Services Office Co-ordinator:
- Acts as first point of contact for employers; provides them with information on how to create an account and post jobs on Career360 and refers employers as appropriate within Student Affairs and Services for further discussion if needed.
- Responsible for the administration of Career360 by approving alumni and employers' new accounts. Conducts research on new employer accounts prior to approval to ensure employer and organization is a valid business to reduce fraudulent job postings being placed on the system.
- Regularly updates employer contact information, posts jobs, posts industry information sessions, recruitment, and department events on the events calendar in Career360.
- Provides support to the SMUworks program by posting SMUworks job descriptions. Via Career360 inputs appointments monthly for service providers (career & employment coaches and career counsellors) for students and alumni to book.
- Acts as the first point of contact for Career & Experiential Learning, and responds accordingly to student, alumni, staff, faculty, and external community inquiries.
- Provides students and alumni with tutorials on how to use Career360 for booking appointments, viewing and registering for events, viewing job postings, etc.
- Liaises and coordinates with faculty and career staff to schedule sessions for students participating in mandatory career sessions.
- Schedules team meetings for CEL, books meeting spaces, and orders catering.
- Produces semesterly statistical reports and contributes to year-end report.
- Completes financial forms, including but not limited to, payment request, purchase orders, cheque deposit, invoices, transfers, etc. ensuring proper budget code is allocated and documentation is accurate prior to submission to financial services.
- Develops, maintains, and revises website content; liaises with EIT for major adjustments.

Experience and Education Requirements
To be the successful Career Services Office Co-ordinator you will have:
- High School completion plus one (1) year of Community College
- Two (2) years directly related experience specifically in providing customer service in an administrative setting. Experience in post-secondary environment or career development or experiential learning environment is considered an asset.
- Ability to engage effectively with students, alumni, employers, and members of the University Community.
- Exceptional teamwork and organizational skills required.
- Good communications skills, both oral and written.
- Ability to multi-task and work in a fast-paced environment.
- Excellent computer skills - Microsoft Office suite, specifically Outlook, Word and Excel, database management. Use of MS Teams. Experience using a career management portal is an asset.
