Position: Calling and Outreach Coordinator (One Year Contract)

Department: Development

Annual Salary: $37,500 + 4% in lieu of vacation

Reporting to the Manager of Annual Giving, the Calling and Outreach Coordinator leads the day-to-day operations of the Annual Giving Call Centre and is responsible for its efficiency and effectiveness. The Calling and Outreach Coordinator also leads outreach projects that enhance the Annual Giving Program.

Responsibilities

Duties as the Calling and Outreach Coordinator include, but are not limited to:

  • Overseeing ongoing recruitment, training, motivation, and supervision of Call Centre staff.
  • Developing reporting methods to evaluate and enhance the quality of the Call Centre's solicitation activities.
  • Preparing work shifts by ensuring students have all the materials and records needed.
  • Recording student hours on the time sheets and ensuring students have signed their timesheets.
  • Tracking results of the calling program through Campus Call and Banner, in conjunction with the Director, Advancement Services.
  • Working on other database work as required by the Manager of Annual Giving and Director, Advancement Services.
  • Providing summaries of calling program results, including recommendations for future appeals, with the Manager of Annual Giving.
  • Ensuring confidentiality and security of records and pledge information.
  • Answering inquiries about donations to the Annual Giving Program, including taking donations over the phone.
  • Liaising with other members of the Advancement, External Affairs, Development, and Alumni teams.
  • In conjunction with Advancement program assistants, ensuring pledges and gifts are processed in a timely fashion and that information obtained during calls is recorded and entered into the University database.
  • Crafting and updating calling scripts and training materials to incorporate relevant developments at the University and to maximize results from different calling segments.
  • Preparing Call Centre-related communication material including pledge confirmation letters, stewardship activities, online marketing materials, etc. in conjunction with the Manager of Annual Giving.
  • Providing the Manager of Annual Giving with administrative support of the Annual Giving Program.
  • Analyzing trends and developing strategies and tools to maximize fundraising results; analyzing fundraising performance against expectations; and making recommendations to continue, alter, or cease initiatives.
  • Spearheading, researching, and leading special projects regarding outreach of donors to ensure the growth of the Annual Giving Program within its annual Strategic Plan.
  • Assisting in the coordination of other Annual Giving programs.

What you'll need

Qualifications

To be the successful Calling and Outreach Coordinator you will possess a Bachelor's degree and one (1) to three (3) years of related experience. Previous experience with telemarketing, marketing, and/or sales experience will be considered assets. In addition, you have very good written and spoken English to compose direct mail solicitation materials, social media and online content, and other documents and to communicate efficiently with donors. You have the ability to work in a PC environment with an intermediate level of skill in Word, Excel, and PowerPoint to facilitate the manipulation of data and preparation of Annual Giving materials and are comfortable learning and adapting to new applications, such as CampusCall and Ellucian Banner. Proven leadership skills; capability of dealing with confidential information while exhibiting discretion; and tact and sensitivity to diverse cultures and constituents will further your success in this position. Excellent organizational and prioritization skills; ability to handle large volumes of work during peak periods; and to work under minimal supervision are all required. Preference will be given to those candidates with experience in the non-profit sector, as well as those with supervisory experience. Evening and weekend work is required.
