Position: Assistant Registrar - Admissions (APC)

Annual Salary: $55,726 - $71,815 (Group 5)

Under the direction of the Director of Admissions, the Assistant Registrar - Admissions oversees the Undergraduate Admission Processing Unit and the non-credit University Preparatory Programs. The position will supervise and train the Admission Records Clerks as well as select and hire the University preparatory (UPrep) instructors. The Assistant Registrar - Admissions will ensure the timely processing of applications and notification of admission and scholarship decisions to applicants. The position will liaise with all units within Enrolment Services, other University departments and external contacts including official agents and oversee the delivery of non-credit UPrep courses. This position will act for the Director during the Director's absence.

Responsibilities

Duties in this position include, but are not limited to:

  • Supervising full-time unionized staff, casual employees and preparatory instructors; assigning task and/or delegating responsibility; monitoring performance and giving feedback.
  • Meeting with UPrep instructors regarding evaluations, program content, program preparation and delivery.
  • Coordinating program requirements including the marketing budget, scheduling and booking instructors on an annual basis. Preparing and implementing contingency plans in the absence of instructors.
  • Monitoring registrations, room capacity and the timetable.
  • Managing the flow of work through the Undergraduate Admissions Processing Unit to maximize efficiency.
  • Overseeing workflow process for Nova Scotia and Ontario electronic transcript process.
  • First point of contact for system and workflow issues.
  • Ensuring that prospective students receive accurate, effective, efficient and timely information on admission standards, the admissions process, admission appeals and scholarships.
  • Liaising with the University Student Recruiters and University Agents to provide a point of contact for information on application status, admission requirements and scholarships.
  • Assisting with entrance scholarship selection.
  • Coordinating and providing academic information and guidance to mature students looking to enter post-secondary education.
  • Maintaining inventory and updates of admission letters through BOE.
  • Ensuring scholarship funds are available for day to day processing of entrance scholarships.
  • Reviewing and making decisions on Visiting, Upgrading and Open Studies applications.
  • Meeting with perspective students and advising them on admissions.
  • Conducting information session on UPrep programs.
  • Participating in Open House Activities

What you'll need

Qualifications

To be the successful Assistant Registrar - Admissions you will possess an Undergraduate degree with a minimum two (2) years related experience in a post-secondary cross-cultural education environment, preferably admissions. Excellent interpersonal, communication and organizations skills with demonstrated supervisory experience; unionized environment considered an asset. You are proficient in Microsoft Suite, Abode Suite and Banner experience would be considered an asset. You are able to make decisions and achieve goals in a high paced environment with multiple competing priorities.
