About the Employer
Mawiw Council Inc. is one of approximately 80 tribal councils in Canada. It is a non-profit corporation governed by a Board of Directors comprised of Chiefs of partnering First Nations: Elsipogtog, Neqotkuk, and Esgenoôpetitj. As a tribal council, Mawiw is mandated to provide capacity-building services to its three partnering First Nations. Our organization receives core funding from Indigenous Services Canada (ISC) and project-based funding from a number of federal, provincial, and other sources.
Core Competencies
Reporting to the Executive Director, the Administrative Assistant will provide administrative support to ensure efficient operation of Mawiw Council; Support the Executive Director and other employees through a variety of tasks related to organization and communication; Be responsible for confidential and time-sensitive material; Effectively communicate via phone, email and in-person in a professional, sensitive, and non-judgmental way; and must ensure duties are completed accurately and delivered with high quality and in a timely manner.

Requirements
• Strong understanding of the Mawiw Council and its activities and stakeholders
• Excellent organizational skills and the ability to multitask
• The ability to accompany and assist the Executive Director at local, regional
and occasionally out-of-province meetings
• Proficiency in Microsoft Word, Outlook, PowerPoint, and Excel
• Strong attention to detail and the ability to work in a fast pace environment
• Good communication and teamwork skills
Duties and Responsibilities
• Handle sensitive information in a confidential manner
• Accompany the Executive Director/Mawiw Directors to key meetings and assist with logistics and meeting minute taking as required
• Answer and direct phone calls, provide information, and take messages as needed
• Answer door, greet and admit clients and visitors, provide information for internal and external requests
• Reply to email, telephone inquiries on behalf of the Executive Director
• Manage attendance/leave staff reporting for the Miramichi office
• Update internal calendar for Executive Director
• Carry out administrative duties such as filing, typing, copying, binding, scanning, etc
• Photocopy and print out documents on behalf of other staff, as requested
• Produce and distribute correspondence through various methods (print, email, social media, website, etc)
• Write letters and emails on behalf of the Executive Director and other office staff, as requested
• Participate actively in the planning and execution of Mawiw Council Inc. events
• Assist in the preparation of regularly scheduled reports and other reports as requested by Executive Director
• Book meetings, conferences, and travel arrangements as needed
• Assist with research and creation of presentations
• Develop and update administrative systems to make them more efficient
• Resolve administrative problems
• Develop and maintain an effective filing system
What you'll need
Qualifications
The following skills and capacities are sought-after assets in a successful candidate:
• Spoken proficiency in the Mi'kmaq and Maliseet languages
• Strong English written, reading, and speaking proficiency.
• Prior experience in administrative management, including staff records management, attendance tracking, taking notes, preparing meeting agendas and other meeting logistics
• Certification or college training in office management or a related field
• Short-handwriting skills
• CPR / First Aid Training
• Prior experience working with First Nations
