Acadia seeks a half-time sessional Administrative Assistant in the Environment and Sustainability Studies program (ESST) to perform reception, clerical, administrative and community engagement logistics to ensure the ongoing functioning of the program. This is a 9-month half-time (17.5 hours/week) sessional position which typically runs from August - May each academic year. Specific responsibilities will include: 

  • Receive visitors, calls and other contacts to the department. Providing informed responses to inquiries and referrals as appropriate.
  • Track enrolment of students and regularly review student records to ensure they are meeting degree requirements.
  • Prepare various types of correspondence and reports, as directed or under own initiative.
  • Organize and maintain files.
  • Financial responsibilities which include tracking of expenditures through purchase orders and procurement cards, maintaining accounting database, and assisting with budget preparation. 
  • Coordinate logistical arrangements for various meetings and events.
  • Maintain the departmental website and social media platforms.
  • Preparation of routine correspondence, records management, and preparation of reports.

QUALIFICATIONS:

  • Completion of a recognized program in either office or business administration, combined with related work experience is required.
  • Demonstrated ability to work to a high level of accuracy, maintain confidentiality, and be flexible to regularly changing priorities is necessary, as is the need for strong analytical skills.
  • Exceptional interpersonal, communication, and organizational skills are required, as is the ability to prioritize workload while providing high level of customer service.
  • Applicants must be highly proficient in the use of Microsoft Office applications. Familiarity with the Colleague student and financial database an asset.
  • Experience with web and social media presence management an asset.
  • Familiarity with Acadia's academic programs and administrative procedures is an asset.

THE REWARDS: Acadia offers a comprehensive benefit package in addition to a starting salary of $17,747 per annum, based on 17.5 hours per week (SEIU Administrative Assistant 2). Following successful completion of 6-month probation period, salary increases to $19,780.
