The Administrative Assistant, Dean's Office is responsible for providing support to the Dean. The scope of this position encompasses several key functions: contract preparation for teaching staff; providing administrative support in the preparation and submission of reports, studies, documents to Senate, Office of Academic Afairs and Research, and the Office of Student Eexperience; facilitating the efficient operations of the academic units, including tracking materials fees, travel and accommodation for visitors; and ensuring that students have a point of contact for program inquiries. The position also administers Life Model hiring and booking. The position reports to the Dean.

What you'll do

Responsibilities

  • Provides administrative support for the Dean, including collecting and maintaining course outlines; providing timetable support; responding to departmental budget inquiries; scheduling appointments, arranging meetings, room bookings, and general office operations;
  • Maintains permanent records for the academic units of meeting minutes, including actions items, decisions, policies, and motions;
  • Routinely interacts with Chairs and Directors and Technicians; understands the roles of each and how they interrelate with the Dean's office for optimal student outcomes;
  • Liaises with Senate administrator to ensure efficient passage of information and motions.
  • Liases with Human Resources, Communications, the Registrar's office, and other university administrative units to coordinate information and activities relating to student issues and university operations;
  • Hires and schedules life models for classes. Maintains a current list of models. Ensures instructors and chairs follow up with their responsibility for timesheets.
  • Manages monthly expenses, financial and budgetary needs of the Dean's office;
  • Arranges travel and accommodation for faculty job candidates, visiting artists and researchers.
  • Responds to general inquiries, provides program advice to students, as well and information on procedures complaints;
  • Maintains calendar of extracurricular and academic events for the division;
  • Other duties, as assigned by the Dean.

What you'll need

Qualifications

Related two year diploma and 3 to 5 years related experience (or an equivalent combination of training and experience) is required. Previous experience in a post secondary environment is prefered. An advance proficiency in general computer literacy and Microsoft Office programs is required. Ability to design and implement new and changing administrative systems is required. Independent judgment in areas of time management, task prioritization and decision-making. Proven ability to manage a large volume of work, conflicting priorities and deadlines. Knowledge of University Policies and Procedures is prefered. Exceptional verbal and written communication ability is required. The incumbent must enjoy working in a very busy environment and be prepared to deal with frequent interruptions.
