What you'll do

Responsibilities

Reporting to the Director of Academic and Capacity Development, you are responsible for providing support to, and managing the day to day schedule, activities, and procedural needs of the department, as well as supporting the work of the Director, unit heads and team members, as required.

Responsibilities include providing administrative support; coordinating departmental events and resources; handling confidential and sensitive documentation; and advising director of upcoming meetings, seminars, and events. The assistant also manages and coordinates scheduling and travel arrangements, monitors monthly budgets/purchase orders/expense reports and assists with curriculum development and program projects, as required. Other duties are to attend meetings, take minutes and complete follow-ups as required, draft and prepare documents and presentations including: typing, formatting, and proofreading of letters, reports, contracts, proposals, etc. General administrative functions such as call screening, photocopying, maintaining inventory and purchasing supplies and equipment are also required.

The successful candidate will have a strong client service orientation, be detail-focused, demonstrate initiative, be flexible and adaptable, be a multitasker, and be able to work independently while also working cooperatively with others as required. They will also be required to monitor and check information, develop and use detailed systems to organize and keep track of information, and proactively initiate new projects while anticipating future needs.

Qualifications

Required qualifications for this opportunity include a high school diploma supplemented by a one-year post-secondary program in a related field, plus a minimum of three (3) years of recent and related work experience, OR a high school diploma supplemented by a two-year diploma in a related field plus two (2) years of recent and related work experience. Candidates must be proficient in Microsoft Office Products (Outlook, Word, Excel and PowerPoint) and Calendar Management. Candidates most also possess excellent written and oral communications skills. Candidates must clearly demonstrate how they meet these qualifications on their resumes.

Written and spoken competence in English is required.

Preference may be given to candidates who have experience working in a post-secondary environment.

Other combinations of education and experience may be considered as equivalent. Subject to competition response, the minimum qualifications may be raised.

NBCC offers a comprehensive compensation and benefits package that includes a competitive bi-weekly salary for this position ranging from $1,472 to $1,776. This is a unionized position where the terms and conditions of employment are in accordance with the New Brunswick Union of Public and Private Employees collective agreement (Administrative and Program Support Services Group) for the College.
