Reporting to the Senate Secretary (Vice-President, Academic & Research), the Administrative Assistant - Senate works independently and as part of a team to facilitate and administer support services to the Academic Senate. The incumbent in collaboration with the Chair of Senate schedules meetings of Senate and its subcommittees, ensures that minutes and motions are duly recorded, approved, and archived, and assists the committee chairs in the research and policy drafting that is required as a feature of the committee workplan.
 

What you'll do

Responsibilities

  • Coordinates all meetings, minutes, and reports for Senate and its subcommittees.
  • Works collaboratively with fellow staff members.
  • Works closely with staff to communicate prospective and approved policy and procedural changes, tracking documentation and archiving decisions.
  • Acts as a liaison between Senate, Registrar's Office, Dean's Office, and when necessary, Office of the President and Board of Governors.
  • Responsible for assisting with the distribution of information to stakeholders.
  • Reviews all relevant documents to be presented to Senate for accuracy and completeness.
  • Ensures files and documents are current and maintained accurately. Reviews and verifies all documents of compliance with quality assurance and governance standards.
  • Supports new members of Senate by providing them with onboarding, as required.
  • In close collaboration with the appropriate Senate committee and manager, creates forms to support the accurate transmission of data across domains.
  • The Administrative Assistant - Senate will participate in professional development training opportunities provided by the University.

What you'll need

Qualifications

Related bachelor's degree or diploma in Office administration and a minimum of three years in an administrative position or (equivalent combination of training and experience) Previous experience in a post-secondary environment is preferred. Previous experience in the administration of governance is an asset. Skills in Microsoft Office Suite applications are essential. Knowledge of Robert's Rules of Order is an asset. The Administrative Assistant - Senate must have the ability to communicate in a pleasant, patient, tactful and efficient manner. The position must juggle multiple tasks and at times conflicting priorities in a fast-paced environment.

The University will begin considering applicants on July 18, 2022 and continue until the position is filled. We appreciate all applicants, however only those selected to move forward in the competition will be contacted. This position is being advertised internally and externally concurrently. Bargaining unit employees for NSGEU Local 82 are given first consideration. This is a permanent sessional position part of the NSGEU Barganing Unit working 28 hours per week for 10 months of the year, off in July and August. This anticipated start date for this position is August 15, 2022


This position is expected to work primarily on campus and will be required to provide proof of full vaccination in accordance with the Return to Campus Plan through NSCAD's online portal prior to their start date or may seek an accommodation from NSCAD's vaccine requirements on grounds protected under provincial human rights legislation.
