What you'll do

Responsibilities

Reporting to the Director of Facilities and Ancillary Services (FAS), you are responsible for providing budget support, tracking of documents and health and safety program support, as well as other related general administration duties.

Budget support includes: preparing monthly financial reports for Regional Operations Managers at all locations and all budgets managed by FAS team, assisting with budget adjustments as needed and with budget development; assisting FAS team with purchasing system, EPR creation, purchase card tracking, petty cash purchases and payment of invoices; and invoicing room bookings and insurance costs to external clients.

Document tracking includes: creating and maintaining a records document management system for both electronic and paper files for FAS documents; maintaining records of vehicle maintenance; filing service agreements, liaising with the corporate contact and ensuring clients are invoiced for costs; upgrading and maintaining FAS tracking systems and performing weekly backup of key FAS electronic files; tracking professional development of FAS staff; managing various room rental requests and bookings at all locations; and managing some vehicle bookings at various locations.

Health and Safety Program support includes: supporting the development of the Health and Safety Program, recording and tracking related items, minutes, incident reports, Worksafe forms; developing statistics on accidents by location; tracking required safety training.

What you'll need

Qualifications

Required qualifications for this opportunity include a completed high school diploma or equivalent supplemented with one (1) year post-secondary training in office management or business and three (3) years of recent and related work experience. Proficient with MS Office Suite of products (in particular Access and Excel) and calendar management. Excellent written and oral communications skills. Candidates must clearly demonstrate how they meet these qualifications on their resumes.

Written and spoken competence in English is required.

Preference may be given to candidates who have experience working in a post-secondary environment.

Other combinations of education and experience may be considered as equivalent. Subject to competition response, the minimum qualifications may be raised.

NBCC offers a comprehensive compensation and benefits package that includes a competitive bi-weekly salary for this position ranging from $1,426 to $1,701. This position is a unionized position where the terms and conditions of employment are in accordance with the Administrative and Program Support Services (NBUPPE) collective agreement for the College.
