Our client is seeking a highly organized, energetic, and administratively skilled individual to join their team as the Administrative and Finance Coordinator. The Administrative and Finance Coordinator would support the organization in general administration, as well as provide support to our finance operations. The incumbent would report to the Director of Finance & Operations on day-to-day activities but take direction from other team members on specific tasks and projects.

Job responsibilities below could change based on skillset of the incoming candidates.

General Office Administration

  • Organize and schedule meetings for CEO and other team meetings, as required, and take detailed minutes
  • Assist teams and divisions with reporting, outreach, and general program administration
  • Write and distribute email, correspondence, letters, faxes, and forms
  • Maintenance of the filing systems, contact lists and CRM platform
  • Day-to-day operations and administrative support
  • Maintain relationships with vendors
  • Coordinate with IT support on all office equipment and troubleshoot when issues arise
  • Act as the first point of contact for general inquiries, including managing public email inboxes
  • Assist with travel/accommodation arrangements, as needed
  • Assist in preparation of corporate and board reports
  • Maintain primary and secondary office spaces
  • Other duties, as required

Finance

  • Accounts payable/receivable
  • Complete bank reconciliations and end-of-month credit card reconciliations
  • Day to day banking
  • Assist employees with expense reports
  • Annual audit support
  • Other finance support, as required

What you'll need

Qualifications

  • At least 3-5 years experience in an administrative role
  • Bilingual (required)
  • Bookkeeping experience required
  • Post-secondary education in office administration, business administration, or equivalent combination of work experience and education
  • Ability to work independently
  • Outgoing
  • Personable
  • Event coordination or management experience is considered an asset
  • Organization skills with the ability to manage several projects at one time
