What you'll do

Responsibilities

As part of the NSCC Foundation and Alumni Relations department, you will:

  • Provide a full range of confidential day-to-day administrative support to the Foundation and Alumni Relations team as required.
  • Provide administrative and operational support in the areas of bookkeeping, fundraising, donor stewardship and alumni relations.
  • Manage the Executive Director's daily schedule including calendar, email and phone calls as well as meeting logistics and file management.
  • Demonstrate independence and initiative in anticipating the needs of the Executive Director, responding to inquiries and initiating action, when appropriate.
  • Act as recording secretary for the Foundation's Board of Directors and its five sub-committees.
  • Schedule Board meetings, send Board communications and coordinate Board event logistics.

Qualifications

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary certificate or diploma in Business or Administrative Professional/Office Administration. High school completion with significant years (10+) of administrative experience will also be considered. Education directly related to accounting and/or finance would be considered an asset.

  • You have a minimum of 3 years (full-time equivalent) of recent and related occupational experience in general office administration and/or Administrative Assistant experience.

  • Occupational experience that includes supporting a senior manager(s) would be considered an asset.

  • You have experience managing and organizing a Board of Directors.

  • You have familiarity with bookkeeping and basic accounting procedures.

  • You have excellent computer skills with a high level of proficiency in a Windows-based environment including the full suite of Microsoft Office software and email.

  • Proven experience in organizing and prioritizing a demanding workload while meeting deadlines.

  • Experience working in a Foundation or not-for-profit organization would be an asset.

  • Experience with systems such as PeopleSoft would be an asset.

  • Experience with systems such as Raiser's Edge would be an asset.

  • Experience in project management and event coordination would be an asset.

  • Understanding of the Canada Revenue Agency rules for charitable organizations would be an asset.

  • Experience working in a post-secondary educational setting would be an asset.
