What you'll do

Responsibilities

As part of Ivany Campus, the Administrative Assistant will report to the Academic Chairs, School of Business and Creative Industries and will provide confidential, day-to-day administrative and organizational support to the Academic Chairs.

The Administrative Assistant will provide a full range of administrative support services. Your responsibilities will include managing the day-to-day administrative and supportive functions, activities, and programs of the department. This entails logistical planning for meetings, program scheduling, calendar management, record keeping, file management, project management support, managing and organizing data, fielding queries to the School of Business and Creative Industries in relation to programs, greeting students/industry/general public and booking appointments with the Academic Chairs, administratively supporting departmental staff, coordinating special events and liaising with the internal and external communities, facilitating course feedback with learners, as well as other related administrative duties to support, as required.

Qualifications and Occupational Experience:

  • The minimum educational qualifications for this position are a post-secondary certificate or diploma in business or office administration. The equivalency of a high school diploma with significant years of administrative experience (10+) will also be considered.

  • You have a minimum of three years of recent and related occupational experience in a fast-paced office environment.

  • You have occupational experience that includes issuing/tracking purchase orders and tracking budgets using Excel.

  • You are proficient using computer applications such as the Microsoft Office Suite, including Excel, E-mail, Sharepoint, etc. Knowledge of PeopleSoft and Learning Management Systems such as Brightspace would be considered an asset.

  • You excel working in a digital environment; you take responsibility for acquiring knowledge about advancing technology, and you are committed to using technology in advancing your work.

  • You are experienced in program scheduling.

  • You have experience in detailed event planning.

  • Experience supporting/coordinating the work functions of a large and complex department would be considered an asset.

  • Occupational experience supporting/providing service to students and prospective students in a post-secondary educational environment would be considered an asset.
