What you'll do

Responsibilities

As the Administrative Assistant, you will have overall responsibility for the day-to-day operations for the Director of Student Services; and provide project coordination of various Student Services driven initiatives supporting accessibility. This position will actively participate in planning for long-range achievement of overall goals of the department and College and supports the Director, demonstrating independence and initiative in anticipating needs, while juggling multiple and competing priorities. You will maintain filing systems (electronic and hard copy), oversee expense claims and invoices; have calendar management responsibilities; be responsible for all meeting logistics and for providing confidential administrative support on various matters.

You will be responsible for coordinating and tracking information, taking and distributing meeting minutes and coordinating materials and meeting arrangements. You are versatile, flexible and experienced in supporting administrative and project activities. This position requires a high level of initiative with an incumbent who anticipates needs and takes proactive measures within scope of authority. The incumbent is an integral contact person providing quality service to clients of the department.

Qualifications and Occupational Experience:

  • The minimum educational qualification for this position is a post-secondary credential in business or office administration. High school completion with significant years of administrative experience will also be considered. A Certificate in Project Management would be considered an asset
  • You have a minimum of 3 years of recent and related occupational experience in general office administration and/or Administrative Assistant experience.
  • You are familiar with and comfortable using computer applications such as the Microsoft Office Suite, specifically Outlook
  • You are comfortable working in a digital environment; you take responsibility for acquiring knowledge about advancing technology; and you are committed to using technology to create an exceptional student experience
  • Occupational experience that includes progressive experience at senior administrative levels in a fast-paced office environment would be considered an asset.
  • Experience with the coordination of projects; specifically with research, tracking and analysis would be considered an asset.
