OFFICE OF THE REGISTRAR

The Office of the Registrar provides administrative and coordination services in support of the UNB learning community, including faculty, staff and students. The office supports students from the point of admission through graduation.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $20.92 - $25.14 per hour

YOUR FOCUS

Reporting to Registrar, the International Admissions Support Assistant is a frontline position that manages supporting documentation and corresponding data for international applications for admission to UNB, with the goal of completing the file for admission assessment. The International Admissions Support Assistant supports and leads on incoming international documents for undergraduate applicants across UNB.

  • Receive applicant-submitted documents using multiple external systems.
  • Update applicant files accordingly and store using an electronic filing system.
  • Assess applicant-submitted documents for authenticity and applicability to file requirements.
  • Ensure accurate assignment of application documents through CRM Recruit and correct errors.
  • Review and correct data issues impacting individual applicant files.
  • Use judgment to apply admission policy/procedures to application documentation.
  • Record transcripts to applicant files and store documents in the imaging system for detailed record-keeping.
  • Communicate with applicants and representatives regarding applicant file and supporting documentation. Review and edit as appropriate to the file.
  • Ensure the confidentiality of all documents and observe privacy policies around student files and data.
  • Coordinate documents and support other UNB admissions teams, as appropriate regarding cross-over files.
  • Support document processes for managed admissions plans.
  • Work in concert with multiple processes, and multiple work teams.
  • Sustain awareness of agent workflow processes.
  • Retain comprehensive knowledge of UNB's undergraduate admission requirements and regulations.
  • Stay abreast of information, changes, and messages regarding UNB's undergraduate programs.
  • Maintain awareness of international document standards.
  • Review and record UNB-issued documents to support visa processing.
  • Other duties as assigned.

WHAT YOU BRING

  • Bachelor's degree in a related field.
  • Minimum two years in a customer service role. Experience working in a privacy-sensitive environment.
  • A combination of experience and experience may be considered.

Additional Strengths

  • Experience in a post-secondary education environment would be an asset.
  • Experience using data systems would be an asset.
  • Ability to manage time and data at a high turnover rate, with critical attention to complex detail.
  • Excellent written and verbal communication skills.
  • Working knowledge of Microsoft Office suites.
