Designed to meet the needs of multiple events, Nova Scotia's Halifax Convention Centre offers over 120,000 square feet of flexible event space in the heart of downtown. The Halifax Convention Centre is part of the Nova Centre, a million-square-foot, mixed-use development that includes a hotel, office towers, and retail space. It is the largest integrated development project in the province's history.


THE POSITION:

Events East Group is now inviting applications for the position of Accounting Assistant with our Finance Team.

Reporting to the Manager of Accounting, the Accounting Assistant is responsible for supporting the Corporate Accounting team in activities related to receivables and credit management for Events East (including Halifax Convention Centre (HCC) and the Scotiabank Centre Box Office). The Accounting

Assistant is accountable for the processing of HCC event invoices, ensuring compliance with contracts, and issuing invoices in a timely manner to clients.

Operations:

Invoicing

  • Create event invoices for HCC events, ensuring compliance with signed contracts; validating that all appropriate approvals have been received
  • Ensure invoices are provided to clients in a timely manner
  • Audit and balance cash bar reports and post the entries
  • Other invoicing-related responsibilities, as required

Accounts Receivable (AR)

  • Apply payments to customer accounts, track and follow-up with clients and sales managers on outstanding invoices
  • Prepare AR reports for management use
  • Post bank deposit transactions

Reconciliations

  • Reconcile various Accounts Receivable, deposit accounts, and other accounts in a timely manner

Other

  • Perform various month-end journal entries
  • Process and post all monthly parking fees
  • Record daily sales transactions for the Scotiabank Centre Box Office
  • Actively and constructively participate in meetings, projects, and working groups as assigned and directed.
  • Work with all colleagues in a respectful, professional manner.
  • Respond to all client, vendor, and event manager needs with a pleasant demeanor and communicate any client needs or changes to the appropriate person and team promptly.
  • Other duties as required.

Training & Development:

  • Support and participate fully in all training and development initiatives.
  • Support the adoption of new technologies and technical skills as they are introduced to the department.

Health & Safety:

Report all safety hazards to the direct supervisor as soon as is reasonably possible. Take action to correct the safety hazard if possible and reasonable.

Report all incidents and near misses to the direct supervisor as soon as is reasonably possible. Participate actively in the Near Miss and Incident Investigation process.

Promote and follow all departmental standards and guidelines, job procedures, and equipment operation protocols to continuously ensure the safety of oneself, team members, and clients

THE PROFESSIONAL REQUIREMENTS:

Education and Experience:

  • Highschool diploma or equivalent secondary school graduation
    • Diploma in accounting considered an asset
  • 1+ years' experience in accounts receivable, general accounting or relevant roles
    • Experience using accounting software in daily work considered an asset
  • Proficient use of the Microsoft suite of products with emphasis on Microsoft Excel.
  • An equivalent combination of education and training may be considered

Physical Demands:

  • This position is performed at a computer station located in a standard office setting.
  • This position performs most of its functions seated at a computer.

Events East

We manage and operate the Halifax Convention Centre, Scotiabank Centre and Ticket Atlantic. Created as part of a government partnership between the Province of Nova Scotia and Halifax Regional Municipality, we work in collaboration with them to manage our business in a responsible and transparent manner.

We were established in 2014 through legislation to operate, maintain and manage the activities of the Halifax Convention Centre in a manner that will promote and develop economic development, tourism and industry in the Province generally, and the Municipality.

Effective April 1, 2017, our mandate expanded to include the continued management and operations of Scotiabank Centre and Ticket Atlantic, formerly under Trade Centre Limited (TCL).
