Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $24.42 - $ 28.90 per hour

YOUR FOCUS

Reporting to Director, Finance & Operations for Student Affairs & Services, the Financial & Administrative Coordinator is a member of the Residence Operations unit within Student Affairs & Services and is accountable to the Director, Finance & Operations, (SAS). This role is responsible for day-to-day administrative duties, financial transaction processing, controls and reporting.

  • Complete vendor payments/ cheque requisitions.
  • Collect purchase orders for goods and services.
  • Perform departmental journal entries and assist staff with proper general ledger coding for entries.
  • Act as first point of contact for departmental financial queries and questions.
  • Complete expense claims, personal reimbursements, and monthly reconciliation of meal plan and retail commissions.
  • Complete reconciliation of department procurement cards and prepare procurement requests.
  • Conduct a monthly review of Residence expenses.
  • Assist in the development of budgets and aid staff in understanding departmental budgets.
  • Assist in the promotion of appropriate expenditure controls and monitoring of expenses vs budget.
  • Perform periodic transaction audits on the Student Affairs and Services operating and capital budgets to assist the department in spending vs budget.
  • Submit Timesheets, Staff Change Forms, Overtime Tracking, and Residence Occupancy Reporting paperwork.
  • Manage petty cash administration.
  • Other financial transactions, support, and duties as required.

WHAT YOU BRING

  • Post Secondary Education in Finance, Accounting, Business Administration, or a related field.
  • 3-5 years of progressive experience in budget administration, financial analysis, or a related field.
  • A combination of education and experience will be considered.

Additional Strengths

  • A University Degree in Finance, Accounting, Business Administration, or a related field is considered a strong asset.
  • Experience in extracting data and analyzing information in Excel is considered an asset.
  • Strong interpersonal, organizational & communication skills.
  • Ability to handle sensitive and confidential information.
  • Strong problem-solving skills.
  • Proficiency in Microsoft Office Suite.
  • Ability to manage changing deadlines in a fast-paced work environment.
  • Ability to maintain high accuracy and attention to detail.
