FACULTY OF FORESTRY & ENVIRONMENTAL MANAGEMENT
The Faculty of Forestry and Environmental Management (ForEM) is a Fredericton Campus unit providing forestry and environmental management education programs to undergraduate and graduate students, among other activities.
WHAT WE OFFER
Full-time | 1-Year Term (Leave Replacement) | Fredericton | On-Campus
Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week
Salary Range: $22.68 - $26.33 per hour
YOUR FOCUS
Reporting to the Faculty Administrative Officer/Assistant to the Dean, the Secretary PL4 (Programs Assistant) provides administrative support and overall management of the ForEM graduate program.
- Provide support to the Director of Graduate Studies with the graduate program. Compose correspondence for signature and process graduate forms.
- Act as first point of contact via online, telephone inquiries or in-person regarding graduate degrees' admission requirements, travel, accommodations, tuition fees, living expenses, scholarships, etc.
- Process, track, monitor, review, follow-up, maintain, and update all aspects of all on-line admissions system for graduate program students.
- Calculate and prepare graduate student payment forms (e.g., GSTA, GSRA, GRA). Update student records.
- Coordinate and schedule all aspects of MScF, MScFE, MScEM, MF and MFE thesis examinations, report presentations, proposal presentation. Organize PhD dissertation examinations in consultation with the School of Graduate Studies.
- Establish and maintain up-to-date graduate student files. Maintain graduate student statistics and information.
- Maintain graduate SharePoint communications site.
- Prepare regular and detailed reports including student enrollments, program progress, completion requirements, etc.
- Assign room keys; manage electronic door system.
- Provide administrative support to faculty members and staff as required.
- Provide administrative and aid with photocopiers when needed.
- Assist in the coordination of the student awards ceremony, graduate symposium, and silver ring ceremony.
- Take minutes for the Graduate Committee and ForEM Health and Safety meetings.
- Assist with graduate timetabling and room bookings.
WHAT YOU BRING
- Post-secondary diploma in business or a related field.
- 2 - 3 years experience.
- An equivalent amount of training and experience may be considered.

- High degree of working knowledge of Excel, and a general working knowledge of Microsoft 365 applications, including SharePoint, Teams, Word, Power Point, Bookings, etc.
- Knowledge of the University environment and Colleague is an asset.
