CAPITAL PLANNING & OPERATIONS

Standard Work Hours: Mon - Fri | 7:30 am - 3:45 pm | 36.25 hours per week

Salary Range: $20.62 - $24.42 per hour

YOUR FOCUS

Reporting to the Manager of Administration & Finance, the Clerk PL3 (Work Control Clerk) is responsible for the duties associated with the processing of work orders including creating, entering expenses and, if required, invoicing external clients. This position also facilitates communication within Capital Planning & Operations and with external contacts such as customers, suppliers, visitors, contractors, Faculty, and Staff.

  • Greet and direct the public and university community. Sort and distribute mail. Answer and direct calls.
  • Report emergencies to the appropriate tradespeople, and function as the base communication for portable radios and tunnel telephones.
  • Process entries in the Capital Planning & Operations work order system originating from various sources including in-person, phone, email, online and UNB security reports.
  • Distribute work orders, file and close.
  • Explain the Capital Planning & Operations billing process to other units. Initiate financial adjustments as required.
  • Correct work order batches and file before month end.
  • Track several managers' and foreperson schedules with a check-in/check-out system.
  • Understand and carry out moderately complex oral and written instructions; make minor decisions per rules and regulations as they apply to work problems.
  • Sign for and direct deliveries for departmental staff and stores, when closed.
  • Provide support and/or coverage to other departmental admin staff and/or mail room as assigned.
  • Other related duties as assigned.

WHAT YOU BRING

  • Post-secondary diploma or certificate in a related field.
  • 1-2 years experience in a related field.
  • An equivalent combination of training and experience may be considered.

Additional Strengths

  • Demonstrated experience in office procedures and related clerical duties.
  • Ability to interact professionally in both individual and group settings.
  • Able to develop positive working relationships across a multitude of departments, clients, and contacts.
  • Use of computerized maintenance management software and Microsoft Office Suite.
  • Previous experience using Colleague would be considered an asset.
