INSTITUTE OF POPULATION HEALTH

The University of New Brunswick views population health in all its forms, as well as the need for innovative models for the provision and delivery of healthcare as critical needs across the province. To address these issues, the university is establishing the UNB Institute for Population Health (IPH) with Dr. Jennifer Russell as Executive Director. Among the many things the IPH would do would be to inform best practices with respect to healthcare responses in the province and the larger region, through awareness raising activities, advocacy, education and training, and various aspects of research activity.

Standard Work Hours: Mon - Fri | 8:15 am - 4:30 pm | 36.25 hours per week

Salary Range: $46,668 - $58,335 per annum

YOUR FOCUS

Reporting to Dr. Jennifer Russell, Executive Director, the Assistant will be responsible for the day-to-day operations, scheduling and administration of related functions for the Executive Director.

  • Provide high level support to the Executive Director (ED).
  • Assist the ED to develop and manage a strategic approach to addressing complex issues, and prioritizing issues of immediate concern or with high impact.
  • Manage the Executive Director's schedule.
  • Book meetings for the Executive Director and staff.
  • Ensure the Executive Director is prepared for meetings by anticipating what may be required for each meeting and event, requesting specific background materials, or speaking notes from various portfolios and collecting all relevant information into a concise briefing package.
  • Review, transmit, and receive on behalf of Executive Director correspondence, electronic mail, visitors, and phone calls and responds directly to inquiries exercising discretion when handling sensitive/confidential issues.
  • Manage the ED's email, taking the initiative to prioritize and follow up where required.
  • Handles all inquiries to the Office of the Executive Director
  • Manage access to the Executive Director for urgent matters.
  • Prepare and composes reports, memos, and letters, often of a highly confidential nature.
  • Assist in the preparation of PowerPoint presentations, Excel spreadsheets and other presentation material.
  • Maintain and organizing working files, Teams, and SharePoint sites.
  • Manage conference and event registration and coordinates travel arrangements.
  • Assist with special projects as needed.

WHAT YOU BRING

  • Post-secondary diploma in office management, administration or business systems.
  • 5+ years experience in an executive office environment as an office manager, administrative coordinator or financial coordinator.

Additional Strengths

  • Experience developing systems and processes in an office environment.
  • Experience working in post-secondary institutions considered an asset.
  • Ability to prepare executive level correspondence.
  • Able to manage office and technical equipment.
  • Demonstrated experience that indicates personal commitment to equity, inclusion, innovation, teamwork, flexibility, and integrity.
  • Effective communication (written and verbal) and interpersonal skills with the ability to engage with various people and groups.
