The Office of the Registrar provides front-line client service support to our academic community, current and former students as well as alumni. The Office of the Registrar is a core service unit that supports the academic mission of the university.

WHAT WE OFFER

Standard Work Hours: Mon - Fri | 7:45 am - 4:00 pm | 36.25 hours per week

Salary Range: $23.59 - $27.92 per hour

YOUR FOCUS

Reporting to the Associate Registrar - Records & Registration Services, the Clerk PL5 (Client Services Grades Program Officer) is a member of a 6 staff team in the Records & Registration unit. The Records & Registration unit plays an integral role in ensuring the academic integrity and accuracy of our academic records.

  • Receive and enter grades, review course end dates, process approved extensions, process final grades when extensions are expired, review missing grade reports, etc.
  • Support the academic community in using online grading tools by referring to the appropriate tools/resources.
  • Responsible for Academic Decision duties: student correspondence, record changes, provide accurate record of student registrations.
  • Provide daily coverage for Reception/Customer Service area: data entry, transcript inquiries, fees, provide letter services for student requests, complete student education forms, process mail, etc.
  • Act as point of contact for Final Course Grade Reviews. Manage all administrative functions in accordance with university regulations and strict deadlines, liaise with academic units to set up review committees, record decisions on the student record, and communicate the outcome to students and effects it has on their record.
  • Responsible for the Final Course Grade Review database administration.
  • Provide general administrative support to the academic appeals portfolio.
  • Process deferred exams/off-campus exam applications. Make decisions on approval, manage all administrative responsibilities, maintain a high level of accuracy, confidentiality and provide guidance on university regulations.
  • Provide support for STU program registrations.
  • Act as the main contact for registration/work placements for Co-op and PEP programs. Track registration/work placements in database, advise co-op coordinators, and contact external partners as necessary.
  • Receive and update student records with minor, areas of specialization, major and honours declarations.
  • Support complete withdrawal processes.
  • Perform other related duties, as required.

WHAT YOU BRING

  • Post-Secondary diploma/certificate in office administration.
  • 3-5 years of related experience and customer service experience.
  • An equivalent combination of training and experience may be considered.

Additional Strengths

  • An Undergraduate degree is considered a strong asset.
  • Experience with Colleague UI or other database management systems is an asset.
  • Skills in problem-solving and decision-making.
  • Exceptional communication skills demonstrating discretion, tact, and judgment.
  • Attention to detail, exceptional organizational skills, and a high level of accuracy.
  • Ability to work independently, as part of a team, and proven ability to meet deadlines.
  • Ability to effectively handle and maintain confidentiality.
  • Proficient in office technology, and comprehensive knowledge of Microsoft O365 (particularly Word, Excel, Teams, and Outlook).
