Position: Admissions Records Clerk (NSGEU Local 79) (9 Month Temporary Contract)

Department: Admissions Office, Enrolment Services

Salary: $33,000 - $36,500 + 4% in lieu vacation

Under the supervision of the Assistant Registrar, Admissions compiles and maintains undergraduate student records, domestic and international as required. The Admissions Records Clerk also clarifies the admissions process to applicants and prospective applicants, liaises with international agents and other University departments and provides information or assistance to student workers as required.

What you'll do

Responsibilities

Duties as the Admissions Records Clerk include, but are not limited to:

  • Compiling applicant files and ensuring all necessary documents are assembled for review by the Assistant Registrar, Admissions.
  • Forwarding files for transfer students to the Transfer Articulation Coordinator for credit assessment.
  • Creating and maintaining active and archived transcript files (dating back two years).
  • Liaising with other University departments to facilitate the Admissions process.
  • Liaising with Agents to ensure applications are processed in a timely manner.
  • Liaising with students to ensure proper completion of applications.
  • Preparing and/or editing correspondence relating to applicants as well as preparing and/or editing correspondence for the Assistant Registrar, Admissions.
  • Creating and maintaining electronic records for prospective undergraduate students on the Student Information System (Banner).
  • Revising computerized information on accepted applicants who withdraw prior to registering and notifying appropriate offices.
  • Generating letters, labels, spreadsheets and data records.
  • Generating New Admission statistical reports.
  • Generating specialized reports for various internal departments.
  • Performing data entry function on the Student Information System.
  • Opening, sorting and prioritizing incoming correspondence.
  • Notifying applicants of outstanding documents.
  • Preparing external transcripts for mailing/courier or pick up.
  • Providing information to the public by telephone and in person and preparing and sending out information packets.
  • Maintaining procedural manual, suggesting improvements in the Admissions Office procedures and systems.
  • Collects and prepares deposits for financial services application fees. Processes NSF collection.
  • Purchasing office supplies.
  • Acting as Admissions Office Receptionist as required.
  • Other duties as required.

What you'll need

Qualifications

To be the successful Admissions Records Clerk you will possess a high school diploma and the completion of a one (1) year commercial course with a minimum one (1) year related experience. You demonstrate the ability to work independently and as part of a team. Further, you have computer training to round out your experience.
