The Opportunity
The Receptionist/Project Administrator is responsible to support project-related administrative activities including the processing of timesheets and reports as well as , supporting general office related administration and reception duties.
What you'll do
Responsibilities
Essential Functions include:
Office Administration
o Establish and maintain contact lists.
o Track ultiization of leave time, such as vacation, personal and sick leave for salaried non-site employees.
o Produce and distribute correspondence, memos, letters, faxes and forms.
o Develop and maintain a filing system, both physical and electronic.
o Book travel arrangements.
Project Administration
o Independently process timecards and maintain timesheet information daily.
o Assist in the preparation of regularly scheduled project reports for labour, equipment & materials.
o Analyze and verify consistency, completeness and accuracy of project data.
Reception
o Maintain switchboard duties and reception.
o Manade all incoming and outgoing mail and courier packages, including interoffice couriers.
o Greet visitors and connect them with appropriate company personnel.
o Present a positive image of the company, internally and externally.
o Order office , kitchen and meeting supplies.
What you'll need
Qualifications
- Completion of formal training in an Office Administration program, with a focus in project administration considered an asset
Minimum 3-5 years of administrative experience, ideally in a project management, or heavy industrial environment.
